The Affiliation Settings page allows administrators to define the core setup and behavior of each affiliation (organization, department, or division) within your system. Each affiliation controls how users, reports, and pages are displayed and connected in the hierarchy.
Use this page to update general information, contact details, appearance, and system behaviors for a specific affiliation.
Accessing the Page
- Log in as an administrator.
- Navigate to → Affiliations menu
- Use Add Affiliations to create new or select the affiliation you wish to configure.
- Click on Edit to access settings.
Overview of Fields
General Information
- Affiliation ID – A system-generated unique identifier (cannot be edited).
- Name – Enter the name of the affiliation or organization.
- Status – Indicates if the affiliation is Active or Inactive. Inactive affiliations are hidden from selection lists and user assignments.
- Parent Affiliation – Select a parent organization if this affiliation is part of a larger structure.
Associated Settings
- Competencies – Lists the competencies associated with the affiliation. Add or remove values as needed to align training or certification paths.
- Certificate – Select a certificate template used for learners in this affiliation. If no affiliation certificate is designated, then the menu will be empty and the system default certificate will be used.
Learning System Integrations
- Blackboard Learner Roles / Instructor Roles – Define the Blackboard roles linked to learners and instructors for this affiliation. Separate multiple roles with commas.
- Affiliate ID – If this affiliation is linked to an external system, enter its external ID here for reference.
Public Pages and URLs
These links are automatically generated by the system and can be shared with learners or instructors:
- Affiliation Catalog Page – Displays the courses available for this affiliation.
- Login Page – The unique sign-in page for users in this affiliation.
- Sign-Up Page – The registration link for new users associated with this affiliation.
Contact and Support Information
- Contact Email (used for Approvals) – The address where notifications and approval requests are sent.
- Support Phone / Support URL – Add contact details for users who need technical or student support.
Catalog Page Sections Filter
Defines which catalog sections are visible to learners based on their affiliation.
- ALL – Shows all records, regardless of affiliation.
- CURRENT_ANCESTORS – Shows records linked to the current affiliation or any of its parent affiliations (excludes unaffiliated records).
- CURRENT_ANCESTORS_ANY – Same as above, but also includes unaffiliated records.
- CURRENT_ANY – Shows only records from the current affiliation and unaffiliated ones.
- CURRENT – Shows only records belonging to the current affiliation.
💡 Tip: Use the filter settings to control which courses appear for each group of learners, ensuring they only see relevant training.
Appearance and Theming
- Custom Theme – Choose a visual theme for this affiliation. You can apply the system default or a custom theme to match your organization’s branding.
Verification and Integration
- UEID Verification (CA State setting) – Enable this option if identity verification is required for users in this affiliation.
- Subscriber URL / Prefix / API Key (CA State)– Used for system integrations and API connectivity. Only modify these fields if instructed by your technical team.
Approvals and Notes
- Route Approvals to Affiliation – If enabled, approval requests (such as course enrollments or completions) are automatically routed to this affiliation for processing.
- Note – Enter any internal comments or administrative notes related to this affiliation.
Best Practices
- Keep contact and support information up to date to ensure users receive the correct notifications.
- Only modify integration and API fields if you understand their impact or have guidance from your support team.
- Use custom themes to differentiate affiliated departments or brands visually.
- Periodically review catalog filters to confirm that learners see the appropriate training options.
