Introduction
Reports are utilized as ways to structure and collect data gathered by Genius and your LMS. Genius includes many built-in reports that make it possible for you to answer some of the more typical questions that arise as you begin to develop your learning initiative, but it also makes it possible for you or other authorized users within your organization to create your own reports using the Report Builder and the SQL Query Builder.
In this article, we will include a description of some of the most commonly used built-in Reports.
General Reports
The General Reports heading covers reports that are designed to help you gauge the overall health of your learning initiative. We provide a brief description of the way in which the key Reports function.
General Reports > Learning Paths
Learning Paths are one of the key features included with Genius. Through Learning Paths, you can combine courses into a ‘program’. Learners can then be enrolled in a Learning Path, which will automatically enroll them in all courses that comprise the Learning Path. Learning Paths makes it possible for you to create complex learning programs for the members of your learning community.
Now that you’ve created these learning paths and that you’ve enrolled learners into them, how do you make sure that those learners are making progress towards completing their learning objectives?:
- Enter the Learning Paths Status report. You can access this report by accessing the Reports tab, then searching for the Dynamic Reports heading in the sidebar, and under Dynamic Reports, finding the Learning Paths report (Reports > Dynamic Reports > Learning Paths).
- The Learning Paths Status report allows you to see the status of each learner in each learning path created in your organization’s learning initiative.
For each learner, the report will display the learner’s name, their affiliation, learning path, and finally, the number of completed, ongoing courses and remaining courses in the learning path.
Each row in this report represents a learner’s enrollment into one learning path. This means that if a learner is enrolled in multiple Learning Paths at a time, you will see multiple rows with the name of the same learner as part of the results.
Because most Reports will typically return a lot of data, Enterprise+ includes a Filtering mechanism that allows you to select filter criteria, and then apply these criteria to reduce the amount of data returned by most of the built-in reports included with Enterprise+.
In the case of the Learning Paths report, you can filter the report by Affiliation or by Learning Path. If an Affiliation is selected in the filter, only learners from that Affiliation will be displayed in the results. On the other hand, if a learning path is selected in the filter, only learners in that learning path will be displayed as part of the results.
Activity
The Reports in the Activity section allow you to track your user’s activity and engagement in your learning initiative. As time goes on, we will provide a quick overview of each and every Report included under the Activity heading in this Article.
Activity > By Learner
This report, available under Reports > Activity > By Learner, will allow you to track your learners’ Activity.
This report will display how many days each learner had activity in the LMS that your instance is integrated with during the last 30 days. For instance, if the learner completed assignments on 3 different days, this report will display 3. If the learner completed all assignments in a single day, this report will display 1.
- In other words, this report will only count unique activity days for each learner.
- This means that if the learner logs into the LMS several times in a single day, the Learner Activity report will only increase by one day.
Just like the other built-in reports, you can filter the Activity By Learner report by Affiliation or by changing the start and end dates in which you will run this Report. If an affiliation is selected in the filter, only learners from that affiliation will be displayed in the results. If, on the other hand, you change the start or the end dates in the filter, the Activity > By Learner report will pull engagement data from a wider or narrower band of dates depending on your selection.
Completion
Completion Reports are designed to allow you to quickly obtain a list of the learners who have completed a course or learning path in your learning initiative. Below, we summarize some of the most commonly used Completion Reports found amongst the built-in reports included with Genius.
Completion > By Course
This report, available under Reports > Completion > By Course, allows you to track course enrollment numbers and completion rates.
The Completion By Course report will display the number of enrollments that were or are:
- started,
- still active
- dropped
- completed
Based on these numbers, the report will also calculate completion rates and drop rates. All of these results will be calculated for each active course in your learning initiative, without identifying the individual learners who are involved with these completions. This Report, therefore, allows you to quickly understand which are the more ‘successful’ courses in your learning initiative (by showing you the Drop and Completion Rates for each course) and which courses are having difficulty engaging with their learners.
Just like all other built-in reports in Genius, you can use filters to reduce the scope of the data returned when running this report. You can filter the Completion by Course report by Affiliation or by Date.
If an affiliation is selected in the filter, only enrollments of learners from that affiliation will be displayed in this Report. On the other hand, you can also select the Date filter to ensure that the report returns data related to enrollment events that take place after your selected Start Date but before your selected End Date.
Completion > By Affiliation
This report, available under Reports > Completion > By Affiliation, will allow you to track the enrollment, completion, and drop rates for each affiliation that has been created in your instance.
By default, this report will display, for each active affiliation:
- how many enrollments were started.
- how many enrollments are still active.
- how many enrollments were dropped.
- how many enrollments were completed.
Based on these numbers, the report will also calculate completion rates and drop rates.
PLEASE NOTE: Information is aggregated on an affiliation basis. This means that you will be able to see the information that has been “added up” on an affiliation basis – allowing you to assess the data collected from each individual affiliate.
Just like all other built-in reports in Genius CE & Enterprise, you can use filters to reduce the scope of the data returned when running this report. You can filter the Completion by Affiliation report by Course or by Date.
- If a Course is selected in the filter, only enrollments of learners in that particular course will be displayed in this Report.
- On the other hand, you can also select the Date filter to ensure that the report returns data related to enrollment events that take place after your selected Start Date but before your selected End Date.
Enrollments
We describe some of the reports around Enrollments available for Administrators below:
Enrollment History
This report, available under Reports > Enrollments > Enrollment History, will allow users to see detailed enrollment data across their entire learning initiative.
Progress, performance, and engagement information live at the enrollment level, not at the section or the course level. Because of this, this Report will display a significant amount of information that you can use to quickly tell how a learner or group of learners are performing in their assigned coursework:
For each enrollment in your learning initiative, the Enrollment History report will show:
- Learner’s name.
- Name of the course in which the learner is currently enrolled.
- Name of the instructor responsible for the course.
- Date in which that enrollment began.
- Date in which that enrollment ended.
- Status of that enrollment (Active, Archived, Dropped or Completed),
- Finally, the Grade achieved by that learner in that enrollment.
Filters are particularly important in this Report because Genius will create a distinct, individual Enrollment Event each time a learner enrolls in a course. Because of this, the number of enrollments will be very large, and therefore filters are critical to getting the most out of this report.
The filters available to you in this Report include:
- Affiliation: Selecting an Affiliation from this drop-down menu will restrict the returns from this report to enrollments of learners that belong to a specific Affiliation.
- Learning Path: If you select a Learning Path in this field, only Enrollments associated with a specific Learning Path will be displayed in this Report.
- Start Date between…: selecting a date in these fields will restrict the enrollments returned by this report to those enrollments that started between dates X and Y. Not selecting an upper or lower bound to this Start Date will return all Enrollments from the ‘beginning of time’ to today, or from today on.
- Department: Will return Enrollments that are associated with a specific Department in your learning initiative.
- Term: As described in this article, the Sections you create in Genius CE & Enterprise will typically be associated with a Year and a Term. Selecting a Term in this field will ensure that this Report returns only Enrollments into Sections associated with a specific Term in your learning initiative.
- Status: Allows you to filter the results returned by this Report to include Active, Archived, Dropped, or Completed enrollments only. This is highly useful in order to find a specific drop or completion events.
- Exit Date: When a learner drops or completes a course, they are considered to have ‘exited’ the Enrollment. Selecting a date in these fields will restrict the enrollments returned by this report to those that have Exited (completed or dropped) between dates X and Y.
- Course: Allows you to display results associated with a particular course.
