Introduction
In both the Genius CE and Enterprise products, a feature exists that allows you to require all enrollment requests to be approved by a manager or administrator. It is important to note that instructors do not have the authority to grant these approvals. This mechanism ensures that learners must wait for their enrollment requests to be either approved or denied before they can officially enroll in the specified course section.
Moreover, aside from course enrollments, there is also a feature that allows you to set up approval processes for the public student account sign-up form that you create. This functionality introduces an 'application' type feature that mandates manager approval for a learner to gain access to your Genius CE or Enterprise instance or catalog. This adds a layer of control, ensuring that only qualified individuals can access your educational resources.
To require approval for enrollment within a course:
STEP 1: Navigate to Courses, select any Course, then click on Edit. Look for the option labeled 'Requires Approval' and set it to 'Yes'.
STEP 2: To review pending approvals, an ADMIN or AFFILIATION MANAGER must go to Reports, then Enrollments, and select Course Requests. It is essential to highlight that affiliation managers will only be able to view course requests submitted by learners within the specific affiliation they manage.
To require approval upon account creation:
STEP 1: Go to Administration, select System Setup, and then Parameters.
STEP 2: In the search bar, look for "NEW_LEARNERS_REQUIRE_APPROVAL".
STEP 3: Click on the Edit pencil icon, change the value to 1, and then save your changes.
STEP 4: To check on pending approvals, navigate to Reports, select Enrollments, and then click on New Learner Approval.
- This will generate a list of new learners who are awaiting approval, along with the information they provided during their initial public sign-up process.
