Editing Your Course Expiration
The course expiration date is a significant aspect of your learning experience, as it determines when a specific course section will become inaccessible, regardless of whether you have finished your certification. To view and modify this expiration date, you need to navigate to a particular course from your Course Tab. Once you have selected the course, you will find an option labeled Edit. Your screen will resemble the following example:
As you scroll down the page, you will encounter a section titled Expirations. Here, you can select from a variety of time frames ranging from 6 months to 60 months. Additionally, there is the option to set your course with no expiration date at all. After making your selections, ensure that you save your choices, and your course will then reflect the expiration date you have chosen.
Automatic Email for Course Expiring
Based on the time frame you have selected for your course expiration, you have the option to enable Genius CE or Enterprise to automatically send out an email notification one month before the expiry of your certificate. This email is categorized as an ENROLLMENT email template, which allows you to send it manually at any desired interval. However, it is also programmed to send out reminders automatically every night, ensuring that you receive timely notifications.
To manage this feature, navigate to your Administration tab and select the System Setup-Templates sub-tab. Within this section, you will find numerous templates, including one named AUTO_CERTIFICATE_EXPIRES_1MO. This specific template is responsible for enabling the automatic email notifications regarding upcoming expirations.
Expiration Reminders Report
In the Genius CE & Enterprise platforms, you also have access to detailed information regarding the exact expiration and completion dates for any specific Affiliation and Learning Path you wish to track. This data is compiled in a report known as the Expiration Reminders report, which can be found in the Reports tab under the General Reports sub-tab. To generate this report, enter the name of the specific Affiliation, Learning Path, and the Status (either Active or Archived) in the Search Criteria box and then click on Get Data.
After retrieving your data, you will see a new box that displays the date on which your Learner completed their course, alongside the date when that course is set to expire.
