Overview
In this article, we outline the necessary steps to create an Affiliation within the Genius CE and Enterprise platforms. Additionally, we will explore the process of nesting Affiliations, enabling you to create a hierarchical structure of groups. This will allow you to efficiently manage and classify your users according to the various groups you establish. Additionally, we will provide guidance on how to locate these Affiliations once they have been created, ensuring that you can easily navigate and manage the organization of your user classifications.
Creating an Affiliation
To initiate the creation of an affiliation, you need to click on the Affiliations tab found within the Genius CE and Enterprise Admin screens. This action provides a comprehensive overview of all active affiliations associated with your Genius CE or Enterprise instance.
- Upon clicking the Affiliations tab, you will be presented with a list of all active affiliations. From here, you can select any existing affiliation to access its Profile Page, allowing you to review and manage its details.
To proceed with creating a new affiliation, click on the Add Affiliations button located in the sidebar. This will prompt the appearance of the Create Affiliations screen.
In the Create Affiliation tab, you will have the opportunity to define essential details for the new affiliation. This includes specifying the affiliation's name, the contact person's name, their email address, and any other relevant information. Additionally, you can personalize the profile page for each affiliation, allowing for customization that suits your organization's learning initiatives. You also have the option to add or remove custom fields as needed, which can facilitate better management and organization of your learning programs.
Sub-Affiliations, or Affiliations within Affiliations
Creating a sub-affiliation within Genius CE and Enterprise is a straightforward process. For instance, if you have already established an affiliation named Test Sub-Affiliation, you can easily create a sub-affiliation under this by following the same steps outlined earlier. To do this, click on the Add Affiliation button in the sidebar while in the Affiliations tab.
- When creating a sub-affiliation, it is crucial to click on the Parent Affiliation field located on the profile page of the affiliation you are working on. This allows you to select a parent affiliation from the list of all affiliations you have previously created within your organization, thereby establishing the hierarchical relationship.
- The interface will display all available affiliations and sub-affiliations for selection, allowing you to create deeper, nested affiliations or sub-sub-affiliations using the same creation process as for a standard affiliation.
Once you have created a sub-affiliation, its level will be displayed on the profile page of the affiliation. Additionally, unique links are generated along with the Affiliate ID, which serves to refine the user experience specifically for that particular affiliation.
To check the level of an affiliation, you can click on Edit Information in the sidebar that appears when you are viewing the affiliation's Profile Page.
- As you modify the Parent Affiliation, the Affiliation Level of the object you are editing will automatically update, ensuring that the hierarchical structure remains consistent and easily manageable.
How the Primary Affiliation Appears on the Learner Profile
An administrator can review a learner's affiliations on the learner's detail page. Navigation: Administration -> Learners -> [select a learner]
On the Genius Information card, two separate fields describe the learner's affiliation state:
- Primary Affiliation - the single primary affiliation for the learner, if one is set. If no primary is set, this field reads None.
- Member of Affiliation(s) - the full list of every affiliation the learner belongs to. When a primary is set, the primary appears first and is marked (Primary). When the learner has no affiliations at all, this field reads None.
The table below shows what each field displays in every combination of states:
Note: Every learner should have a Primary Affiliation set. The Genius CE & Enterprise interface requires a primary whenever an administrator assigns or edits a learner's affiliations, so in day-to-day admin work this state is enforced automatically. The one path that can leave a learner without a primary is bulk imports, which may add affiliation memberships without setting one. When you find a learner with affiliations but no primary - the Genius Information card will show Primary Affiliation: None while Member of Affiliation(s) lists the actual affiliations - set a primary. The rest of the platform's affiliation-driven behavior (reports, access restrictions, and similar) assumes a primary exists.
To set or change a learner's Primary Affiliation: on the Learners list, open the row menu for the learner and select Edit. On the learner edit form, use the Primary Affiliation dropdown, then click Save.
