Setup
Create the Document Types: You can have a “Document Type” as a prerequisite to a course. You would first add a Document Type this would be the name of the document (ie: “F20 Fire Application”)
Administration- (System Setup) Lists, Document Types
- Approval Setup: on the Administration menu, Parameter, DEFAULT_APPROVER. This will send an approval email to the email address(s) defined in this parameter. A (semicolon is used between multiple users)
- Course Section: When you create the course, you will add the prerequisite for the course from the documents you created in the setup.
Enroll in the course.
- Learner Enrollment: When a learner enrolls in a course that has a document pre-requisite (or you bulk enroll them in a course) the Learner Dashboard will show the course in the Pending Course module (Missing Required Document): * If an admin enrolls, the document pre- requisite is bypassed as administrator access will by-pass requirements and complete the enrollment.
Submit Application
- Learner Dashboard: the learner will log in and submit the application. From the Learner, the learner will click on the External Files link on the left-hand menu.
- External Files: The learner will submit the fillable PDF form through the learner dashboard using the External Files link on the left-hand menu.
- Add new File: Click on the Add new file- the pop-up will allow the learner to enter a description and select the document type from the drop-down menu, add the file, and submit.
- Submit: Once the submit button is clicked the submission will be displayed with the status.
- Learner Dashboard: Once the document is submitted the Pending course module on the Learner dashboard will update with a status of Waiting Document Review.
Review Application
The application can be reviewed as outlined below. Additionally, you can see the learners thwhore waiting for approval by using the course request report.
- Email sent to the individual sent in the parameter. This is an email that can be configured to present the message you need. You can view and approve or deny the email right from the email.
Keep in mind that if you forward this email, the link can be clicked by the person the email was sent to, and they could approve or deny the link in the email.
Learner record- Files
- You can view the document, change the status from waiting for review to Approved.
Course request - From the Reports menu you access course request, you can use the search options and get data. This will provide you with a list of learners that meet the criteria you selected. You can click on the name of the learner that is WAITING_DOCS and link to the learner record and view and approve the file as described in the steps above.
Once the document request is approved the learner dashboard and the course request report will update the status.
