During the initial setup phase, it would be best to tailor the language used in your automated email templates. This customization helps to create a more personalized communication experience for recipients, reflecting the unique voice of your organization. As you begin to develop Learners and enroll them in various Sections, the system will automatically initiate and send out these automated emails through Genius. To access and modify these templates, navigate to the Administration section found in the left-hand menu, and select Templates under the System setup category.
The system is equipped with a variety of email templates; it is recommended that you take the time to review each one thoroughly. Among these, several key templates should be prioritized for review during your initial setup process. Each of these templates serves a specific purpose and plays a crucial role in communication with users.
- The AUTO_NEW_USER_CREATED_LEARNER template is triggered whenever a new learner is added to the system. This email serves to welcome the new learner and provide them with essential information about their account and next steps.
- The AUTO_NEW_USER_CREATED template is used for non-Learner users, such as facilitators or managers, when they are created in the system. This ensures that all users receive appropriate notifications relevant to their roles.
- When a learner is enrolled in a section, the AUTO_COURSE_REGISTRATION template is sent to notify them of their enrollment. This email includes details about the course and any necessary information they need to prepare.
- Upon the completion of a section, the AUTO_COURSE_COMPLETION template is dispatched to the learner. This email congratulates them on their achievement and may include information about next steps or additional learning opportunities.
- If a learner is dropped from a section, the AUTO_COURSE_DROP template will be sent to them. This notification provides clarity on the situation and may offer guidance on re-enrollment or alternative options.
- When a learner requests enrollment in a course that requires managerial approval, the AUTO_MANAGER_ASKING_FOR_APPROVAL template is sent to the relevant affiliation manager. This ensures that the approval process is streamlined and efficient.
- Learners receive the AUTO_CERTIFICATE_EXPIRES_1MO template when their certification is set to expire within one month. This serves as a timely reminder to encourage renewal and continued engagement in their learning journey.
- If a credit request is denied, the AUTO_CREDIT_REQUEST_DENIED template is sent to inform the learner of the decision and any further actions they may need to consider.
- When users request their password, the AUTO_PASSWORD_REQUEST template is triggered, providing them with the necessary steps to access their account.
- If a user forgets their password, the AUTO_PASSWORD_RESET template is sent to guide them through the password reset process, ensuring they can regain access without unnecessary delays.
- The REMIND_DAYS_BEFORE_END_LEARNERS template is sent to learners a few days before their course end date, as determined by a specific parameter. This reminder helps learners stay informed and plan accordingly.
- Similarly, the REMIND_DAYS_BEFORE_START_INSTRUCTOR template is dispatched to instructors days before the course start date, allowing them to prepare for the upcoming session.
Suppose you decide not to want Genius to send any of the emails mentioned above. In that case, you have the option to delete the template entirely or modify its name to something different. For instance, renaming it to XXX_REMIND_DAYS_BEFORE_START_INSTRUCTOR will effectively deactivate the email from being sent while keeping it stored in your system. Should you later choose to reactivate it, remove the XXX_ prefix, and the email will be triggered again when the specified criteria are met.
