Overview
Each user in Genius can be linked to one or more integrated learning management systems (for example, Brightspace) through a Learning Management System ID — the identifier that ties their Genius account to their account in that system. This link drives grade sync, enrollment sync, and activity tracking. If a user's Learning Management System ID points to the wrong account, grades and enrollments can sync to the wrong learner or fail to sync at all.
Administrators can correct a user's Learning Management System ID directly from the Find Users page — no engineering intervention required. If a user is connected to more than one learning management system, every mapping is shown on one page so you can review and correct them together.
Note: For background on how Genius connects to learning management systems, see the Learning Management Systems article in this Knowledge Base.
How It Works
When you open the edit page, Genius lists every learning management system mapping on the user's account, each showing its current Learning Management System ID. You can correct one or several at once. After you save, Genius asks you to confirm the change before it is applied, because overwriting the value can disconnect the user from the learning management system.
Each change is recorded, including which administrator made it and when. The correction takes effect on the next sync cycle — from that point, grade sync and enrollment sync use the new Learning Management System ID for that user.
Before You Begin
- You must have the Administrator role in Genius. This action is not available to instructors or other roles, even if they can reach the Find Users page. The LMS column and the edit page are both restricted to Administrators.
- You need the correct Learning Management System ID for the user. This is the unique identifier from the integrated learning management system (for example, Brightspace) that corresponds to the user's account there. If you are unsure of the correct value, contact your organization's learning management system administrator to look it up before making changes.
- A user can have several learning management system mappings if your organization uses more than one integrated learning management system. All of them appear on the edit page; you choose which row or rows to correct.
- A Learning Management System ID is required and must be 64 characters or fewer.
How to Correct a User's Learning Management System ID
Navigation: Administration → Users and Access → Find Users
- From the administration menu, go to Administration → Users and Access → Find Users.
- Search for and locate the user whose Learning Management System ID needs correcting.
- In the LMS column of the results grid, click the icon button on that user's row. It opens the Edit LMS ID page for that user.
Note: The LMS column appears only when you are signed in as an Administrator. If you do not see it, confirm your role with your organization's system administrator.
Important: Changing a user's Learning Management System ID can disconnect them from the connected learning management system and break access to their courses and grades. Only edit these values to correct a known mismatch.
- Review the User Information card at the top (Name, User ID, Username, Email) to confirm you have the right user.
- In the mappings table, find the row for the learning management system you need to correct. Each row shows the LMS Name, the LMS Type, and the current LMS ID in an editable field.
- In the LMS ID field for that row, replace the value with the correct Learning Management System ID. If the user has more than one mapping, you can correct multiple rows before saving.
- Click Save. (Save stays disabled until you change at least one value.)
- When the confirmation prompt appears, review the listed change — it shows the old and new value for each mapping — and confirm to apply it.
A success message — "LMS ID updated successfully." — confirms the update. To leave without saving, click Cancel, which returns you to the Find Users page.
Troubleshooting
| Issue | Possible Cause | Resolution |
| The LMS column does not appear on the Find Users grid. | Your account does not have the Administrator role. | Confirm your role with your organization's system administrator. The column is visible only to Administrators. |
| The Edit LMS ID page shows "No LMS mappings found for this user." | The user is not linked to any integrated learning management system. | This page corrects existing mappings; it does not create them. If the user should be linked, contact Support to have the initial mapping created. |
| The Save button stays greyed out. | No value has been changed yet. | Edit at least one LMS ID field. Save enables once a value differs from the current one. |
| Saving fails with a validation message. | The Learning Management System ID is blank or longer than 64 characters. | Enter a value that is not empty and is 64 characters or fewer. |
| After saving, grades still sync to the wrong account. | The next sync cycle has not run yet since the correction. | Wait for the next scheduled sync. If the problem persists, re-confirm the corrected value with your organization's learning management system administrator. |
Note: If grades are syncing to the wrong learner or not appearing at all, see the Gradebook & Grade Sync Troubleshooting article in this Knowledge Base for the full diagnostic checklist.
Best Practices
- Confirm the correct value first. Before editing, get the exact Learning Management System ID from your organization's learning management system administrator. Entering the wrong value redirects grade and enrollment sync to the wrong account.
- Check the User Information card before saving. Confirm the Name, Username, and Email match the user you intend to change — the edit page is reached by a direct link, so it is easy to land on the wrong record.
- Review the confirmation prompt. It lists each old-to-new change. Use it as a last check before applying.
- Monitor the next sync cycle. After saving, confirm grades and enrollment data appear correctly for the affected user.
