Introduction
Reports serve as essential tools for organizing and compiling the data collected by Genius CE & Enterprise in conjunction with your Learning Management System (LMS). Genius CE & Enterprise come equipped with a variety of built-in reports that enable you to address some of the most common inquiries that may arise as you embark on the development of your learning initiative. Moreover, these platforms also empower you, along with other authorized personnel in your organization, to generate custom reports utilizing the Report Builder and the SQL Query Builder, allowing for greater flexibility and specificity in data analysis.
In this article, we provide a detailed overview of some of the most frequently used built-in reports incorporated within Genius CE and Enterprise.
General Reports
The category of General Reports encompasses those reports specifically designed to assist you in evaluating the overall status and effectiveness of your learning initiative. Below, we present a concise description of how the key Reports operate and what insights they can offer.
General Reports > Learning Paths
Learning Paths represent a fundamental feature within Genius CE & Enterprise. They allow you to aggregate various courses into a cohesive ‘program’. By enrolling learners in a Learning Path, they are automatically registered for all the classes that constitute that path. This functionality enables you to design intricate learning programs tailored for the members of your learning community.
Once you have established these learning paths and enrolled learners in them, the next step is to monitor their progress toward achieving their learning objectives. Here’s how you can effectively track their advancement:
- Begin by accessing the Learning Path Status report. To locate this report, navigate to the Reports tab, search for the General Reports section in the sidebar, and under General Reports, you will find the Learning Paths reports (Reports > General Reports > Learning Paths/Learning Path Status).
- The Learning Path Status report provides a comprehensive view of each learner's status within the learning paths that have been created as part of your organization’s learning initiative.
For each learner, the report will present the learner’s name, affiliation, the specific learning path they are enrolled in, and the count of courses that have been completed, are currently in progress, and those that remain to be completed within the learning path.
Each entry in this report corresponds to a learner's enrollment in a particular learning path. Therefore, if a learner is enrolled in several Learning Paths simultaneously, you will observe multiple entries for the same learner within the report results.
Given that most Reports tend to generate substantial amounts of data, the Enterprise+ version includes a Filtering mechanism that allows you to specify filter criteria, which can then be applied to narrow down the volume of data returned by the majority of built-in reports included with Enterprise+.
Specifically for the Learning Paths report, you can filter the data by Affiliation or by Learning Path. If you select an Affiliation in the filter, only learners associated with that Affiliation will appear in the results. Conversely, if you choose a specific learning path in the filter, only learners enrolled in that particular learning path will be included in the report results.
Activity
The reports categorized under Activity enable you to monitor user engagement and activity levels within your learning initiative. Over time, we will provide a brief overview of each report available under the Activity heading in this article.
Activity > By Learner
This report, located under Reports > Activity > By Learner, enables you to track your learners’ activity levels.
The report will indicate the number of days each learner engaged with the LMS integrated with your instance of Genius CE or Enterprise over the past 30 days. For example, if a learner completed assignments on three separate days, the report will reflect a count of three. Conversely, if all tasks were completed on a single day, the report would show only one.
- In essence, this report accounts only for unique activity days for each learner.
- This implies that if a learner logs into the LMS multiple times within a single day, the Learner Activity report will still only register one day of activity.
Similar to the other built-in reports available in Genius, you can apply filters to the Activity By Learner report based on Affiliation or by adjusting the start and end dates for the report. If you select an affiliation in the filter, the report will solely display data for learners from that specific affiliation. Alternatively, modifying the start or end dates will allow the Activity > By Learner report to retrieve engagement data from a broader or narrower range of dates based on your selections.
Completion
Completion Reports are specifically designed to provide you with a swift means of obtaining a list of learners who have completed a course or learning path within your learning initiative. Below, we summarize some of the most frequently utilized Completion Reports available among the built-in reports included with Genius CE & Enterprise.
Completion > By Course
This report, accessible under Reports > Completion > By Course, enables you to monitor course enrollment figures and completion rates.
The Completion By Course report will present the number of enrollments that have been or are:
- initiated,
- currently active,
- dropped,
- completed.
Based on the collected data, the report will also calculate completion and drop rates. These results will be generated for each active course within your learning initiative, without disclosing the identities of the individual learners involved in these completions. Consequently, this report provides a brief overview of which courses are performing well in terms of learner engagement (as indicated by drop and Completion Rates) and which courses may be struggling to engage their learners effectively.
As is the case with all other built-in reports in Genius, you can apply filters to narrow down the data returned when generating this report. You can filter the Completion by Course report based on Affiliation or Date.
If you select an affiliation in the filter, only enrollments of learners from that specific affiliation will be included in this report. Alternatively, you can also select the Date filter to ensure that the report provides data concerning enrollment events that occurred after your specified Start Date but before your chosen End Date.
Completion > By Affiliation
This report, located under Reports > Completion > By Affiliation, allows you to track enrollment, completion, and drop rates for each affiliation established within your instance.
By default, this report will display, for each active affiliation:
- The number of enrollments that were initiated.
- The number of active enrollments.
- The number of enrollments that have been dropped.
- The number of enrollments that have been completed.
Using these figures, the report will also calculate completion rates and drop rates.
PLEASE NOTE: The information is aggregated on an affiliation basis. This means that you will be able to view the data that has been “summed up” based on each affiliation, allowing you to evaluate the information collected from each affiliate.
Just like all other built-in reports in Genius CE & Enterprise, you can utilize filters to narrow the scope of the data returned when generating this report. You can filter the Completion by Affiliation report by Course or by Date.
- If you select a Course in the filter, only enrollments of learners in that specific course will be shown in this report.
- Conversely, you can also use the Date filter to make sure that the report returns data about enrollment events that occurred between your selected Start Date and End Date.
Enrollments
Below, we outline some of the reports related to Enrollments that are available for administrators using Genius CE & Enterprise:
Enrollment History
This report, found under Reports > Enrollments > Enrollment History, provides users with comprehensive enrollment data spanning their entire learning initiative.
Progress, performance, and engagement metrics are tracked at the enrollment level, rather than at the section or course level. Consequently, this report will present a wealth of information that can help you quickly assess how a learner or a group of learners is performing in their designated coursework:
For each enrollment within your learning initiative, the Enrollment History report will display:
- The learner’s name.
- The title of the course in which the learner is currently enrolled.
- The name of the instructor responsible for that course.
- The date when that enrollment commenced.
- The date when that enrollment concluded.
- The current status of that enrollment (Active, Archived, Dropped, or Completed).
- Lastly, the grade achieved by the learner in that specific enrollment.
Utilizing filters is particularly crucial in this report, as Genius CE & Enterprise will generate a unique Enrollment Event each time a learner enrolls in a course. As a result, the total number of enrollments can be substantial, making filters essential for maximizing the report's utility.
The filters available to you within this report include:
- Affiliation: By selecting an Affiliation from the dropdown menu, you can limit the report results to enrollments of learners belonging to that specific Affiliation.
- Learning Path: If you choose a Learning Path in this field, only enrollments linked to that specific Learning Path will be shown in the report.
- Start Date between…: By selecting dates in these fields, the report will only include enrollments that started within the specified date range. If no upper or lower bounds are set for the Start Date, it will return all enrollments from the earliest time up to the present or from the present onward.
- Department: This filter will return enrollments associated with a specific department within your learning initiative.
- Term: As explained in this article, the sections you create in Genius CE & Enterprise are generally associated with a year and a term. Selecting a Term in this field will ensure that the report only returns enrollments for sections tied to that specific term within your learning initiative.
- Status: This filter allows you to refine the results to include only Active, Archived, Dropped, or Completed enrollments. This is particularly useful for identifying specific drop or completion events.
- Exit Date: When a learner drops out or completes a course, they are considered to have ‘exited’ that enrollment. Selecting dates in this field will limit the report to enrollments that exited (either completed or dropped) within the specified date range.
- Course: This filter allows you to display results associated with a particular course.
